Position Summary
The HR Generalist supports the daily human resources needs of the company and serves as a trusted resource for employees, department leaders, and the CFO. This role is responsible for coordinating employee onboarding and offboarding, maintaining accurate HR records, supporting benefits and payroll-related processes, assisting with performance management activities, and helping ensure compliance with applicable employment requirements in a private aviation environment. The position is hands-on, detail-oriented, and non-management in nature.
Essential Duties and Responsibilities
- Coordinate onboarding for new employees, including new hire documentation, employment eligibility verification, orientation support, system setup coordination, clothing or uniform coordination, company credit card requests, and communication with internal teams.
- Coordinate offboarding activities, including separation documentation, employee file updates, access removal coordination, equipment or company property follow-up, and exit process support.
- Maintain accurate and confidential employee records, including personnel files, I-9 documentation, W-4 forms, benefit records, payroll-related changes, and other HR documents.
- Complete E-Verify and support annual audits of employment documentation, including I-9 and W-4 review.
- Enter and maintain employee information in HR, benefits, performance management, timekeeping, and payroll-related systems, including Isolved, Bamboo, payroll/timekeeping platforms, and related tools.
- Support benefits administration, including open enrollment coordination, employee benefit changes, health insurance questions, FSA/HSA administration support, AFLAC coordination, retirement plan support, and 5500 review preparation.
- Coordinate with payroll and finance on employee banking changes, retirement plan disbursements, out-of-state employee payroll considerations, ACA filing review, and payroll system accuracy.
- Assist with performance review coordination, performance improvement plans, employee relations documentation, and consistent application of company policies.
- Support policy updates and implementation, including vacation, sick leave, health insurance eligibility, career development, cybersecurity training, confidentiality, and handling of private information.
- Assist with recruiting activities, including job postings, job fair planning, candidate communication, interview scheduling, offer letters, and new hire letters.
- Coordinate aviation-specific onboarding needs, including pilot iPad/data setup, safety department notifications, pre-employment documentation, and required access to operational systems.
- Support workers' compensation audits, benefit audits, retirement plan vendor coordination, and other recurring HR compliance activities.
- Provide responsive, confidential HR support to employees while escalating complex or sensitive matters to the CFO as appropriate.
- Assist with workforce planning projects by collecting information about staffing needs, new positions, department growth, and operational changes affecting employees.
- Perform other related HR duties, general administrative functions, and special projects as assigned.
Required Qualifications
- Minimum of 3 years of professional human resources experience, preferably in aviation, transportation, manufacturing, logistics, or another regulated operating environment.
- Working knowledge of HR practices related to onboarding, offboarding, employee records, benefits administration, payroll coordination, compliance, performance management support, and employee relations.
- Experience handling confidential employee information with professionalism, discretion, and accuracy.
- Strong attention to detail and ability to manage multiple recurring deadlines, including open enrollment, audits, compliance filings, and payroll-related changes.
- Proficiency with Microsoft 365 and experience using HRIS, payroll, benefits, timekeeping, or performance management systems.
- Ability to communicate effectively with employees at all levels of the organization and coordinate with cross-functional teams.
- Ability to work independently while keeping the CFO informed of priorities, risks, and issues requiring escalation.
Preferred Qualifications
- Experience supporting HR in private aviation, fixed-base operations, charter operations, aircraft maintenance, flight operations, or a similar aviation-related business.
- Familiarity with employment-related compliance considerations in regulated environments, including documentation, training, recordkeeping, and audit readiness.
- Experience with Isolved, Bamboo, payroll/timekeeping systems, benefit administration platforms, or similar HR technology tools.
- HR certification such as SHRM-CP, PHR, or similar credential.
- Bachelor's degree in Human Resources, Business Administration, or a related field.

Working Conditions
This is a full-time, on-site or primarily on-site role supporting employees in a private aviation business. The HR Generalist may occasionally need to adjust priorities or work additional time during open enrollment, payroll deadlines, audits, recruiting activity, or other time-sensitive HR projects.
Compensation Range
Expected salary range: $65,000 to $80,000 annually, depending on experience, qualifications, and business needs.
